POSITION OVERVIEW
The Front Office Administrative Assistant is the first point of contact for parents, guests, vendors, and other visitors to the school. This role oversees the highly-visible front office of the School and provides general administrative support to the School in general. Reporting to the Executive Assistant to the Head of School & Administrative Manager, this role also supports the administrative function of the school and serves as backup to other administrative assistants.
KEY DUTIES AND RESPONSIBILITIES
Serve as the initial point of contact for all visitors (parents, guests, students, vendors) and greet guests, notifying the appropriate School representative upon their arrival.
Administer the School’s main phoneline, including recording and updating general system announcements and messages.
Manage all incoming communications, answering and transferring phone calls via multi-line phone, and serving as a key resource for all callers by providing up-to-date School information.
Maintain a rotating departmental display of interest/ achievement and an orderly and inviting front office.
Maintain current phone lists and resources on the School’s internal site.
Sort and distribute employee mail, including all incoming and outgoing packages.
Distribute student bus passes in partnership with Auxiliary Services. Assist with bus-related emergencies and matters as needed.
Serve as back up to Upper and Middle School Assistants for student sign ins/outs.
Demonstrate familiarity with the Student Handbook and enforce student policy as necessary.
Perform general administrative duties and tasks to support the Executive Assistant to the Head of School & Administrative Manager.
Assist with event scheduling and calendaring using the School’s event space management system (eSpace).
Provide support to event and meeting set-ups and breakdowns.
Assist the Executive Assistant to the Head of School & Administrative Manager with special projects and other duties as assigned.
Provide essential back-up administrative support for other departments, ensuring continuity of operations during absences or peak times.

As a non-exempt employee, the hourly rate ranges from $30.00-$39.00.

QUALIFICATIONS AND REQUIREMENTS
2+ years of experience in administrative roles.
Bachelor’s degree or equivalent preferred.
Excellent verbal and written communication skills.
Strong customer service skills and ability to work collaboratively within groups and across different functional areas.
Organized and excellent attention to detail; good project management and planning skills.
Proven record of maintaining confidentiality and exercising sound judgment.
Proficiency in Google Suite, Microsoft Office, Adobe, and other software platforms preferred.
