The Donor Database and Research Manager reports directly to the Associate Director of Advancement and plays a key role in maintaining and managing the Raiser’s Edge NXT databases, Omatic, excel spreadsheets, and word merge templates. This role ensures the integrity of constituent records, supports gift entry, prepares mailing lists, exports and reports, and assists with tracking events and volunteers. Additionally, the Donor Database and Research Manager provides critical data research on key prospects to support the office's fundraising initiatives.
Gift/Pledge Entry and Acknowledgement:
• Record gifts and pledges in Raiser’s Edge and maintain supporting documentation
• Collect and charge donations received via credit card and direct debit
• Generate appropriate acknowledgement letters and tax receipts for all gifts with a goal of 48-hour turnaround.
• Generate reports and exported lists along with supporting documentation. This includes but is not limited to:
Periodic reconciliation and audit reports for the Business office
Lists and tallies for NHS publications such as the annual report, Hamptonia, and Foundations magazines
Thank you note lists for the Head of School and Chairman of the Board of Trustees
Mailing lists for NHS publications and other bulk correspondence
Others on request
Coordinate pledge reminder process for all outstanding pledges
Database Administration: Add, update, and confirm accuracy of all database records to include constituents, gifts, appeals, funds, campaigns, tributes, events, volunteer status o Bulk input/update students, families, and faculty and staff during school year transitions
Act as primary point of contact and manager of RE NXT, iWave, and Omatic
Develop queries, exports, and lists to support members of the advancement office
Bulk import/globally change data
Assist and train team members in all aspects of Raiser’s Edge NXT and iWave
Facilitate continuing education opportunities for Raiser’s Edge and other software
Coordinate software subscriptions, upgrades, and maintenance involving NHS technology and advancement teams as needed
Maintain database related word merge templates.
Provide pledge reminders, 1821 Society invitations and welcome letters, annual tax letters, tribute notifications, and other form letters as requested
Maintain electronic and/or paper files of constituent/gift related documentation
Utilize, edit and expand upon process and procedural instructions related to database management duties
Manage security administration for Raiser’s Edge NXT, iWave, Almabase (Husky Hub), and other related software
Research IRS and other government regulations related to data stored in Raiser’s Edge, recommend internal changes, and implement resultant processes
Maintain and develop standard operating procedures which assure the maintenance and storage of confidential information
Ensure data is being updated between Raiser’s Edge and Almabase (Husky Hub). Work closely with the Director of Alumni and Parent Relations on further implementation of Almabase.
Donor Research:
Assist Advancement staff in screening, rating, and prioritizing prospects for engagement and solicitation
Bulk screen new parents and other groups of constituents as requested by the Associate Director of Advancement
Knowledge/Skills/Experience Requirements:
Experience with all aspects of Blackbaud/Raiser’s Edge NXT, iWave, and Omatic
Proficiency in Microsoft Excel and Word with prowess in Word merges
Three years related experience and/or training in a responsible administrative position or equivalent combination of education and experience
A strong sense of fundraising ethics and practices, and respect for confidentiality of donor information
The ability to work both independently and as a team player
Strong attention to detail is required
Demonstrated knowledge of fundraising programs and donor relations, preferred
The willingness and ability to represent New Hampton School professionally on-campus and off-campus. Some evenings and weekends required
