Founded in 1962, Stephen Gaynor School provides a highly individualized educational program in a rich, rigorous, and nurturing environment in which students gain the skills and confidence necessary to learn, grow, and reach their full potential.
Nearly 400 students ages three to 14 attend our school with a range of learning differences, from Attention Hyperactivity Disorder (ADHD) to speech, language, and reading delays such as dyslexia. With more than 50 years of experience in special education and a dedication to continuous improvement, Gaynor has the expertise to help children break down barriers to learning, build self-esteem, and realize academic success.

Opportunity - Administrative Assistant (Front Desk) Schedule 7:45 AM to 3:45 PM
Job Overview: The Administrative Assistant will provide daily onground administrative support for school operations, education program, directors and senior management at the school. Forward facing position that provides a collegial and supportive approach in their communication to faculty, staff, students and families including answering the school’s primary phone line and directing calls. Will work closely with directors, faculty and staff, and parents to support all aspects of daily operations including arrival and dismissal, busing, internal and external communications, scheduling, and planning.
Essential Functions:
Provides administrative support to school by greeting visitors entering the school, screening calls and answering emails
Assists with daily arrival and dismissal of students, specifically special instructions for late arrivals/early dismissals from parents
Coordinates bus transportation for students and field trips
Manages multiple calendars including the school event calendar and room reservations for shared spaces (e.g. conference room, Performing Arts Center, etc.)
Assists with various school wide projects, coordinating field trips and ordering/ distributing student metrocards
Updates and maintains the school's internal communication tools, documents and sites.
Assists with preparation for the start of the school year with all logistical details and end of year wrap up
Coordinates and facilitates meetings and interviews via video conference and phone
Performs data entry, creates and utilizes spreadsheets
Ensures safety of students including supervision of students when required
Willing to display a commitment to anti-bias and anti-racism work and to promoting inclusion, belonging and equity through their work in the classroom and school community
Performs other duties and projects as assigned
Qualifications & Skills:
Minimum of an Associate’s Degree
Minimum 3 years experience in an administrative position required
School and/or non-profit experience strongly preferred
Proficient in Google Workspace (Drive, Docs & Sheets) and Microsoft Office
Must have strong communication and interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as families and outside professionals
Excellent interpersonal, phone and writing skills
Self-motivated, flexible, and able to work as part of a team
Organized with the ability to multitask
Detailed-oriented with strong time management skills
Ability to work independently
Must be thoughtful in approach to speaking to children with special needs
Sets a respectful, collaborative, and positive tone, and recognizes our responsibility to create a diverse and inclusive environment that supports and celebrates each individual in our school community
Must maintain a high degree of confidentiality and professionalism with regard to student and school information
Must be able to provide proof of COVID-19 vaccination
