Position Summary: This dynamic position straddles responsibilities between the admissions and business office. Candidates should have excellent planning, organization, and interpersonal skills as well as flexibility. Candidates must provide a high level of customer service and prioritize and manage simultaneous demands with a willing, friendly attitude.
Roles & Responsibilities:
Admissions Office:
• Coordinates with Director of Admissions the day-to-day functions of admissions office with primary responsibility of admissions database
• Serve as the first point of contact for prospective families
• Assists with admissions tours and parent interviews for prospective families
• Assists with all admissions events and prepares all communications for new families
• Cultivates and promotes partnerships between High Point and feeder preschools
• Completes data entry and application processing, including the ongoing management and integrity of the database, ensuring the data is accurate, current, and consistent across systems
• Maintains enrollment and re-enrollment numbers, tracks statistics, generates reports for Admissions office
• Creates contracts and materials for all new families and manages the re-enrollment process through School Forms Online
Business office:
• Inputs all student charges, adjustments, and payment plan into student billing database Blackbaud Tuition Management (BTM).
• Process deposits, including donations through desktop check scanner and record in QuickBooks (QB) and BTM for student related deposits
• Follows up with families for outstanding receivables
Administration:
• All administrative personnel help out where needed in other departments. This may include car line duty, occasional recess supervision, front desk assistance and event support, i.e., graduation, performances, gala.
• Prior experience in an independent, charter or public school, specifically in admissions and business office highly desirable
• Excellent written and communication skills
• Ability to multi-task. Strong organizational skills demonstrating ability to simultaneously manage multiple constituencies and deadlines
• Basic accounting knowledge
• A friendly, gracious, professional manner and outlook
• Intermediate skill level with Word, Excel, Google Docs.
• Experience with inResonance/Sandbox, Quickbooks, Blackbaud Smart Tuition helpful
