Princeton Day School has an immediate opening for a Director of Human Resources responsible for all aspects of the human resources function including benefit administration, recruitment, payroll, regulatory compliance, mandatory reporting, personnel issues/investigations, mediation, problem solving, committee participation, departmental reorganizations, as well as administrative functions relating to HR.
Essential Duties and Responsibilities
- Successfully manage and coordinate benefit programs - Health, Dental, Vision, FSA, 403(b) Retirement Plan, STD, LTD, Life/AD&D and COBRA - for employees, including all employee communication, problem solving and claims resolution.
- Reconcile and process invoices for all benefit programs on a monthly/quarterly basis
- Ensure compliance of all plans with applicable laws and statutes (HIPPA, ERISA and IRS guidelines).
- Maintain secure and confidential benefit related files and records.
- Communicate plan changes/comparisons during Open Enrollment periods to assist employees in becoming educated consumers
- Manage annual open enrollment for Health, Dental, Vision and FSA Plans.
- Coordinate logistics and schedule semi-annual TIAA consultant visits
- Ensure Summary Plan Descriptions are in legal compliance
- Manage Worker’s Compensation program
- Maintain/edit/update job descriptions for all employees. Complete periodic job description audit and ensure appropriate classifications under the Fair Labor Standards Act.
- Maintain secure and confidential personnel files
- Manage and maintain the faculty/staff directory, both hard copy and electronic database.
- Manage recruitment lifecycle, including placement of opportunities in appropriate venues; managing the receipt, acknowledgement and dissemination of all candidate materials; management of the search process and maintenance of search documentation to ensure EEOC compliance.
- Responsible for maintaining the Careers page of the school website
- Revise/update employee handbook and maintain current file of Acknowledgments
- Ensure compliance with federal and state statutes/laws such as ACA, FMLA, NJFLA, ADA, Anti-Discrimination/Harassment, Worker’s Compensation, Title VII, and ERISA.
- Complete/manage issuance of annual employment contracts and compensation statements
- Oversee the contract/paperwork portion of the hiring process for the Athletic Department (seasonal coaches) and Summer Programs (faculty/students) to ensure compliance with school/DOL requirements
- Manage employee separation process for both voluntary/involuntary terminations
- Participate in new faculty/staff orientation as needed
- Ensure all new employment paperwork and background check requirements are satisfied prior to commencement of employment.
- Consult/counsel school administrators and employees regarding disciplinary problems, resolving personnel issues and providing mediation when necessary.
- Conduct internal investigations relating to complaints, when necessary
- Provide training, when necessary, on various HR topics including interviewing skills, employee coaching and performance reviews.
- Main point of contact for retirees with questions regarding benefit issues
- Provide a resource for any/all employee questions/concerns
- Responsible for the oversight of the payroll function; provide processing coverage for absences
- REPORTING/GOVERNMENT COMPLIANCE
- Responsible for completing required (governmental) reports including EEO-1, OSHA
- Complete the Human Resources portion of the annual INDEX report
- EVALUATIONS
- Provide technical support for the FOLIO system used in the faculty professional growth program
- Establish and maintain annual, school-year database for use in evaluation process and student survey process for academic and athletic programs
- Coordinate the process and maintain files related to the annual performance appraisals for staff
- STUDENT ACCIDENT INSURANCE
- Responsible for the annual enrollment in Student Accident Insurance coverage for Summer Programs and School Year plans
- Maintain records/files on student accident/incident reports
- Serve on Compensation Committee, Pension Oversight Committee, Stipend Committee and other committees at the invitation of the Assistant Head of School for Finance & Operations and/or the Head of School
- Liaison with legal counsel, as needed
- Responsible for coordinating and implementing annual school-wide shredding program
- Manage Recruitment budget; process bi-weekly expense reports
- Other duties as assigned or required

EDUCATION AND EXPERIENCE
- College degree required
- Certification (PHR/SHRM-CP) preferred
- Proficiency with Excel and Word required.
Knowledge of HRIS / payroll systems a plus.
