The role of the controller is an integral part of the Business Office, responsible for coordinating and preparing financial reports such as statements of activities, statements of financial position, statements of cash flows, and analyses of historical and projected income and expenses, in addition to other special reports that may be needed. The controller supervises the accounting, purchasing, accounts payable, accounts receivable, endowment and student billing operations and is responsible for audit and budgeting activities.
Reporting directly to the Executive Director of Business and Finance, the controller is also responsible for recommending and administering all accounting policies and procedures, ensuring that strong internal controls and effective transaction processing protect the assets of the school and result in meaningful, timely, and accurate financial reporting.
Supervise and assist accounts payable, accounts receivable, student billing, and other personnel in the Business Office. Oversee collection activities and make follow-up account receivable calls as necessary.
Ensure accurate and timely financial information and reporting, including all financial statements, cash flow and variance analyses, and dashboard reports.
Plan, coordinate, and prepare various workpapers or schedules for the annual financial audits including the school’s financial statements audit, 403(b) plan audit as well as the annual IRS Form 990 and Form 5500 filings.
Prepare all periodic surveys and compliance reports for various school industry organizations (e.g. NAIS, ISACS, NBOA, Commonfund, etc.), as well as other internal and external information requests for financial data.
Prepare, review, and file tax forms, including but not limited to, annual excise tax report (form 720), annual 1099 forms, nonprofit biennial registration form, property tax exemption, unclaimed property tax return, Nebraska raffle returns (Forms 51 and 35B).
Cross-train on finance functions including ADP/payroll, accounts payable, budgeting, accounts receivable, and FACTS Mgmt student billing. Assist with the annual property and liability insurance renewal process.
Prepare, post, and reconcile investment activity and related journal entries, and prepare all associated spreadsheets and analyses. Reconcile bank and credit card accounts monthly and determine monthly benefit allocations and year-end accrual entries.
Review, post, and periodically reconcile all cash, stock, pledges, and in-kind gifts in the Accounting System from Blackbaud Raiser's Edge NXT. Partner with the Advancement Team on gala and raffle compliance with state regulations and reconciliation of fundraising revenue.
Ensure accurate and appropriate coding and approval of all revenue, expenditure, and journal transactions to their appropriate accounts, including proper net asset classification.
Generate monthly departmental budget reports and forecasts and work with administrators and department chairs or auxiliary program coordinators regarding budget performance, program profitability, and effectiveness.
Prepare, reconcile, and report on construction activities, asset acquisition and disposal, and maintain the fixed asset depreciation schedule.
Maintain customer confidence and protect operations by keeping financial and personnel information confidential.
Communicate accounting policies to employees and ensure compliance with such policies.
Actively stay current on new regulations in GAAP, relevant non-profit accounting issues and private school industry trends and activities.
Desired Skills & Qualifications The ideal candidate will be a CPA with a bachelor’s degree in accounting with a minimum of five years of experience in non-profit accounting, including supervisory experience with a proven record of mentoring and developing staff, ideally in a private/independent school or higher education setting. This position requires strong analytical skills and attention to detail, written and verbal communication, and interpersonal skills. Strong proficiency with Microsoft Excel and Quickbooks is required. Prior experience with ADP, Blackbaud Raiser’s Edge, Google Suite (i.e., Sheets), and/or FACTS Mgmt experience preferred. Highest regard for confidentiality and exemplary ethical standards is necessary. Proven ability to manage multiple projects and tasks simultaneously and work both independently and in a team environment.
