The Advancement Services Manager supports the Advancement Office and its activities and works closely with the Business and IT Offices. The Advancement Services Manager is responsible for overseeing all aspects of the Advancement database and gift administration, including: constituency management, gift processing and reporting, prospect identification, cultivation, solicitation, and donor recognition and tracking.
This position will report to the Director of Advancement with a targeted start date of May 1, 2021.
Essential Duties and Responsibilities:
Maintain the Advancement database of 20,000+ constituents to ensure all gift and demographic information is as accurate and up-to-date as practical. Conduct routine audits of the data to improve accuracy.
Promote positive donor relations by helping to ensure the accuracy, confidentiality and integrity of biographical, demographical, gift records and other information. Work with other members of the Advancement team to track donors and prospects in the database.
Spearhead Advancement team policies and procedures for database management. Keep current with all system updates and training. Actively seek best practices in database management. Routinely update and maintain policies and procedures manual.
Responsible for all efforts related to the receiving, processing, acknowledging and receipting of gifts from cash, check, credit cards, payroll deductions, electronic funds transfers, online donations, securities, real estate, deferred and in-kind gifts.
Design, execute and maintain customized database reports, lists and queries to support the Advancement Office and to fulfill requests for information from other institutional departments. Further utilize the database to build queries for Advancement communications.
Develop and maintain a suite of reports to monitor and measure fundraising performance for the Director of Advancement, Business Office and, as required, other departments in the school.
Prepare monthly financial reports to reconcile Advancement Office records with the Business Office. Work closely with the Business Office team on reconciling donor gifts for each month, as well as for the school’s annual audit and tax return.
Track outstanding annual and campaign pledges and monitor pledge payment activity and reminders.
Research potential donors and prepare fundraising prospect profiles as needed. Creates and maintains constituency database files.
Serve as the primary advocate of Advancement with the IT Office in troubleshooting database problems, clarifying procedures and implementing solutions.
Assist with Advancement programming and projects as needed.
High-level development database experience (like Veracross, Raiser’s Edge, Greater Giving or comparable), including ability to build reports; create and run queries and dashboards; develop analytics on various strategies; research trends and improve ways of operation.
Additional experience in developing and producing Crystal reports (or similar) is a plus.
Minimum of two years in development/advancement or related field is required. Experience working with an independent school or similar non-profit is a plus.
Experience in and understanding of gift types, fund types, fundraising techniques, etc.
Ability to effectively interact with a variety of constituents, volunteers and co-workers in all areas of the school.
Advanced skills in Excel, plus skills in Google Suite, and the ability to learn and navigate an ever-changing array of new technologies and platforms, are critical to this role.
Must have excellent written and communication skills and be able to use judgment and discretion with confidential information.
Must be able to multitask, work in a fast-paced office and work with multiple priorities and deadlines with accuracy.
Must be able to fulfill responsibilities with high standards in customer service and support of Pace Academy’s philosophy and mission.
Understanding of non-profit gift accounting essential.
Ability to work collaboratively in a team environment.
