The Business Office Associate is responsible for all aspects of Payroll and Accounts Payable and provide support to the Business Office at Bishop McNamara High School. The position requires full proficiency in computer operation as well as the ability to work in a fast paced environment in a timely, accurate manner. The right candidate must be willing and able to interact with, and provide a high level of service to employees, families, and students throughout the School community. Excellent written and verbal communication skills are required, as is a professional demeanor.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
PAYROLL: Directs all payroll activities and functions school-wide to ensure accurate and timely payroll processing
Coordinates the day-to-day functions of the payroll and benefit functions assuring timely and accurate payroll policies and procedures are followed according to business office procedures.
Serves as a source of information to faculty, staff and external contacts on established payroll policies and procedures.
Develops and maintains up-to-date policies and procedures for the payroll and benefit functions in conjunction with the Controller.
Supervises the process of payroll for all W-2 employees and 1099 independent contractors and makes all associated entries and adjustments.
Develops schedules and calendars for processing payrolls.
Keeps informed of governmental and contractual changes that impact the payroll operation and participates in planning and implementation of programs to effect these changes.
Performs routine and non-routine data retrieval, research, analysis, and reporting from payroll records as requested.
Maintains personnel records for all employees, including setting up new employees, obtaining all legal forms, and maintaining and providing payroll information sheets.
Processes all court-ordered or tax levied wage garnishments and ensures timely payment thereof.
Assists the Controller in carrying out the goals and objectives of the Business Office.
Performs other duties as required to assure the smooth operation of the payroll and benefits process.
ACCOUNTS PAYABLE: Ensures timely payment of invoices so as not to jeopardize our credit rating and good standing with our vendors
Obtains approval of all invoices from appropriate personnel prior to processing payment.
Enters approved invoices into batches for timely payment.
Posts batches and generating payment.
Mails payments and store backup documentation properly.
Sets up new vendor accounts as needed.
Responds to requests from vendors and employees related to invoices and reimbursements.
Tracks budget by department and reviews for appropriate expenditures prior to processing invoices.
Prepares monthly departmental expense reports and distributes to appropriate department heads.
Prepares and reviews monthly open invoice reports.
Prepares and distributes year-end 1099 forms.
CREDIT CARD STATEMENTS: Verifies validity of purchases and charging appropriate accounts
Logs use of departmental VISA cards
Files receipts from purchases
Reconciles monthly statements
ON-SITE DEPOSIT: Ensures payments are credited to bank account on a weekly basis
Balances cash drawer to receipt log
Prepares deposit for DUNBAR pickup
Reconciles petty cash and replenish
Maintains credit card and petty cash distribution
CASH BOXES: Ensures clubs, organizations, etc. have adequate funds for events
Receives requests and prepares cash boxes for fundraisers, sporting events, etc.
Provides supporting documentation for annual financial audits.
Performs related duties as required or assigned by the CFO.
Provides administrative support to the Business Office

EDUCATION AND/OR EXPERIENCE:
Bachelor’s degree in Business, Management, Public Administration, or related field of study. Minimum 2 years’ experience related to accounting and payroll procedures. Knowledge of laws and regulations pertaining to payroll function. Ability to maintain payroll information with absolute confidentiality. Strong interpersonal communications skills. Strong organization skills. Ability to work in team environment.
