Today, as one of the most comprehensive and acclaimed institutions for the study of music, the Jacobs School plays a key role in educating performers, scholars, composers, dancers, and music educators who influence performance and education around the globe. The 160 full-time faculty members in residence include performers, scholars, composers, and teachers of international renown. Provide direction and oversight for the efficient and effective operations of financial activities in the Jacobs School of Music. Direct, administer, supervise support staff and coordinate functional activities in the areas of accounting and budgeting, including payroll, purchasing, accounts receivable/payable, travel, guest contracts, retail operations, and mailroom operations. Develop, recommend, and implement changes to continually improve internal processes in the areas of account management, transaction processing, and financial reporting and analysis. Interpret and ensure compliance with university financial and Indiana University Foundation policies. Review documents prepared by internal staff and outside offices to verify accuracy of charges, account distribution, and compliance with IU policy; approve documents on behalf of the School. Provides reporting and analysis to the Associate Director of Finance and Business Administration as well as the Director of Finance.
Monitor actual expenditures and encumbrances against approved budgets, at both the overall level and for individual manager portfolios. Verify that all transactions are within University policy, and have adequate funding to support. Follow up with faculty, chairs, and directors as needed to determine funding options. Oversee the documentation of transaction processing procedures. Review these processes to ensure that we have strong internal controls. Develop and guide implementation of a consistent account reconciliation process that addresses and mitigates financial risk to the University.
Reports to Associate Director of Finance and Business Administration. Supervises and directs five full-time support staff and three to five part-time staff.
REQUIRED: Bachelor’s degree and two years of progressive experience in fiscal/account management and analysis experience.
Excellent financial management skills, including the ability to read and prepare complex financial statements and make effective use of financial analysis software. Excellent skills in management, supervision, problem-solving, communication and presentation, interpersonal skills, goal-setting with follow-up and follow-through, and managing multiple projects/tasks simultaneously. Ability to effectively communicate and exchange information. Strong supervisory and organizational skills. Ability to create an environment of collegiality with all constituencies; interpersonal skills and judgment suitable for exercising appropriate discretion and demeanor when dealing with university administrators, faculty, and staff.
Degree in business, accounting, finance or related field; Demonstrated supervisory experience; Experience in higher education environment.
