Clark University’s office of Financial Services seeks to fill the position of Clark One Card Coordinator and Business Manager Assistant. Reporting to the Business and Auxiliary Services Manager, the successful candidate will be responsible for oversight of the business processes related to the One Card program including the day to day functions of the Clark University ID Office; administering of the cash card programs; accounting for and reconciliation of associated general ledger accounts; reviewing and reconciling meal plan invoices; and customer service/troubleshooting for One Card users. Processes invoices and departmental chargebacks for centralized services (printing, cellphones); assist with the administration, training, and user support of Clark’s eProcurement system (SmartBuy Plus); provide administrative and clerical support to the Business Manager as needed. Major Responsibilities: • Process Student, Faculty and Staff Identification cards as required. • Maintain records, update procedures, manage inventories of supplies and schedule maintenance of One Card equipment. • Maintain internal control and procedure documents regarding One Card system functionality. • Generate and coordinate schedules for ID processing events. • Schedule student employees. • Responsible for Cash Card Program duties, including: o Monthly reconciliation of Banner general ledger to CBORD System reports. o Coordination of payments to vendors participating in the cash card program. o Reconciliation or vending income and commissions. • Other duties and responsibilities: o Assist the Business Manager in the administration, training, and user support of Smart Buy Plus, Clark’s eProcurement system. o Process invoices and departmental charge-backs for centrally managed contracts such as printers and cell phones. o Assist in the tracking of driver records and Clark-owned vehicles. o Assist in fiscal year-end close by reconciling activity related to the One Card and Business Managers offices. • Other duties as required within the Business Manager’s office.
Qualifications/Job Requirements: • High School diploma, required. College degree or equivalent experience in business or accounting, preferred. • 1 to 2 years of experience in a business administrative environment. • Knowledge of Microsoft Office Suite is required and experience with accounting systems helpful. • Must be comfortable with the use of technology and have the ability to learn how to use various software applications. • Must be personable and able to interact well with a broad range of constituents.
