The position of Business Manager in the Office of Development is a demanding and challenging job which reports directly to the Associate Vice President & Campaign Director. The Business Manager is responsible for the daily approval, supervision, control, monitoring and reporting of the department's budget activities.
The position involves setting budget policy, approving budget requests and serving as liaison with the Department of Planning and Budget and the Controllers Office. Budget responsibilities also include preparing detailed budget reports on a monthly, quarterly and yearly basis, developing yearly budget requests and opening and closing the annual budgets. The candidate must be proficient in preparing financial and/or operational analyses and reports and audits current procedures to monitor and improve efficiency of operations.
Additionally, this individual will assist in the management of the daily operations of the Office of Development and must be experienced in resolving problems related to the day-to-day operation. It is also necessary that this person have excellent clerical, communication, organizational, interpersonal and computer skills.
ILLUSTRATIVE EXAMPLES OF WORK:
Responsible for the development and management of operating budgets and provides fiscal direction in matters concerning payroll, travel, purchasing, and accounts payable.
Authorizes payroll entries, payment of invoices, purchase orders, mailing requisitions, business expense reports and any other departmental charges that require verification and approval.
Authorizes and approves payment of expenses that can be charged to the department by procurement card. Maintains the records of the procurement card users for departmental purchases including the related business expense reports, transaction reports, and procurement card statement approvals.
Evaluates and/or negotiates contracts for the purchase of services, maintenance, and leased equipment in accordance with the university policies and procedures.
Responsible for all journal entries, transfer of funds and paperwork as it applies to chargebacks for the department, as well as for budgeting and payroll.
Maintains records in order to provide budget reports to the director and other university administrators. These reports may be needed in varying formats to provide comparisons, projections, and proposals.
Oversees staff employment documents and provides information on administrative procedures and requirements to staff.
Represents the department at various business meetings, promotional events, and university functions.
Performs other related duties as assigned by the Associate Vice President & Campaign Director.
REQUIREMENTS OF WORK:
The successful candidate will have earned a Bachelor's degree from an accredited institution in Business Administration with a concentration in Accounting or Finance, and have a minimum five years of business experience in accounting/management position or related experience and training that provides the knowledge, skills, and abilities required to perform the essential job functions. This includes, but are not limited to the following: Excellent working knowledge of Microsoft Office suite products; excellent written and oral communication skills; demonstrated ability to handle multiple assignments and meet deadlines; thorough knowledge of spreadsheets, databases, graphics and word processing; ability to manage personnel and make administrative and procedural decisions and judgments on sensitive and confidential issues; ability to foster a cooperative work environment; skill in organizing resources and establishing priorities; employee development and performance management skills; strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community; knowledge of budgeting, cost estimating, fiscal management principles and procedures; ability to analyze and interpret financial data and prepare financial reports, statements and/or projections; ability and willingness to support the University Mission Statement; and the ability to establish and maintain effective working relationships with the University Community.
