The Business Manager is responsible for a variety of business functions within the Provost Business Services Unit. These duties require effective communication, both orally and in writing. Maintain ability to work with, and in service of, a diversity of individuals, groups, and organizations. Maintain confidentiality and handle potentially sensitive information appropriately.
Process approvals for purchasing requests utilizing the HokieMart system, following all applicable Virginia Tech and Commonwealth of Virginia policies and procedures. Serve as backup for HokieMart or purchase card purchases when staff is out of the office. Coordinate with staff members to resolve problems and answer questions relating to purchasing.
Serve as a fiscal and budgetary coordinator for the Destination Areas (DA.) Serve as the primary contact for the establishment of new DA funds for Colleges and University Departments. Track commitments and transfers in the DA pool funds. Manage the transfer of funds to for Colleges and University Departments. Attend meetings as required.
Work with the Academic Space Management team on tracking fiscal matters related to Space projects. Manage the process of requesting new funds for projects, and requesting closure of the funds following project close out. Reconcile and report on project expenses. Attend regular meetings.
Provide support with fiscal management for the Office of Inclusion and Diversity. Supervise the Business Coordinator. Track the departmental budget and provide reporting on the departmental budget and expenditures. Research and solve problems and ensure a high level of customer service.
Review monthly reconciliations of University as well as Foundation funds for departments assigned to the Provost Business Services team as assigned. Identify and correct problems found in reconciliations or other reviews of transactions. Research information in the Banner system. Maintain an understanding of government and non-profit fund accounting and generally accepted accounting principles.
Serve as a coordinator for Provost Course Development funds and other Enrollment Management initiatives. Serve as a point of contact when new funds need to be established. Work with departments on the transfer of Provost Course Development grants or other funding support.
Provide research and ad-hoc reporting for the Assistant Provost for Finance Administration and others. Provides support on ensuring compliance with Federal, State, and University policies and procedures. Prepare presentations and material for division-wide meetings. Provide additional support to the Assistant Provost as required.
Bachelor's Degree in business, accounting, or related field and significant experience. Experience in accounting and administration. Knowledge of relational databases and associated reporting tools. Working knowledge of Generally Accepted Accounting Principles (GAAP) as well as a firm understanding of the principles of fund accounting in governments and/or non-profit organizations. Experience performing reconciliations and following up on problems related to budget or expenditures. Experience with duties that require tracking and follow-up to ensure all steps are properly completed. Experience managing and overseeing tasks requiring accurate data entry. Experience using Excel and reporting tools such as Scoop, MicroStrategy, or similar programs. Experience providing a high level of customer service in a diverse organization.
Master's degree in business, accounting, or related field. Experience with Virginia Tech systems such as, Banner Finance and HR, HokieMart, the leave system, TimeClock Plus, CashNet, TEM, online Labor Redistributions, and the Online I-9 (e-verify) system. Working knowledge of Virginia Tech and/or Commonwealth of Virginia policies.
