St. Mark’s School of Texas seeks an experienced Administrative Assistant to join our Office of Development & Alumni Relations. The Office of Development & Alumni Relations is responsible for planning, implementing, and managing all constituent relations between the School and different constituency groups including Alumni, donors, parents, and students. This position reports to the Director of Development and will ensure that the Office of Development & Alumni Relations is well-organized and functions smoothly by managing office activities, scheduling meetings and appointments, making travel arrangements, maintaining the calendar of appointments and events, preparing meeting briefs, and completing expense reports. They will maintain files, track relationships, and monitor pledges/gifts for donors. They will assist with the coordination of alumni outreach and other office initiatives. The person in this position must excel in managing relationships, event management, providing outstanding customer service, and must be an enthusiastic professional with the highest standards of excellence. This position will require some weekend and evening work, in addition to local and regional travel.
Ensure that the Director of Development is well-organized and functions smoothly by managing office activities, scheduling meetings and appointments, making travel arrangements, maintaining the calendar of appointments and events, and completing expense reports
Support the Director of Development in their his work regarding key donor relationships
Coordinate logistics and communication for meetings involving the Director of Development
Provide administrative support to the Senior Director of Leadership Gifts and for the activities of the Office Development & Alumni Relations
Responsible for communication (oral and written) with students, faculty, administration, staff, alumni, parents, and outside community members
Maintain files, track relationships and monitor pledges/gifts for key prospects and donors for the Office of Development & Alumni Relations, using Raiser’s Edge software
Ensure stewardship of naming opportunities and donor recognition
Utilize Microsoft Office Suite to prepare and edit correspondence, presentations, reports, charts, graphs, etc.
Maintain the confidentiality and security of sensitive communications and work product
Maintain positive, professional working relationships with all school constituencies
Perform other duties or projects, as assigned
Experience/Qualifications & Skills
Bachelor’s degree from an accredited college or university
Two to three years of progressively responsible professional experience in administrative functions
Experience in a development/fundraising setting is preferred
Outstanding communication skills (written and verbal), customer service, interpersonal skills, professional demeanor, and telephone mannerisms
Excellent computer and calendaring skills, including a working knowledge of Microsoft Office Outlook, Word, Excel, and PowerPoint
Experience with Raiser’s Edge (or a comparable database) preferred
Demonstrated ability to effectively interact with employees and visitors
Demonstrated organizational skills with attention to detail, strong problem-solving skills, and the ability to act independently and exercise sound judgement
Must be able to work effectively in a dynamic and fast-paced environment
Self-motivated and able to work independently
